Succession Planning
Succession Planning ensures continuous operational coverage by establishing clear backup arrangements for contracts and events. Assign primary and backup managers across multiple succession levels to maintain operational continuity.
What is Succession Planning?
Section titled “What is Succession Planning?”Succession Planning creates structured manager assignments for contracts with multiple backup levels:
- Contract-based assignments with up to 6 manager succession levels
- Primary and backup coverage for operational continuity
- Manager rotation and workload distribution
- Upload functionality for bulk succession plan management
Succession Planning Interface

- Contract Name: Each operational contract listed
- Manager Levels: 1st through 6th Manager columns
- Assignment Status: Shows assigned managers or ”---” for vacant positions
- Actions: Edit and Delete options for each contract

- 1st Manager: Primary manager responsible for the contract
- 2nd Manager: First backup, steps in if primary unavailable
- 3rd Manager: Second backup for extended coverage needs
- 4th-6th Managers: Additional backup levels for critical contracts
Find specific contracts and succession plans quickly.
- Search by contract name or manager name
- Filter by assignment completeness
- Sort by contract type or manager workload
- View pagination for large contract lists
Managing Succession Plans
Section titled “Managing Succession Plans”Create succession plans for new contracts.
- Contract Name: Enter the contract identifier
- Allocated Managers: Add managers using the “Add Manager” button
- Shadowers (Optional): Assign managers in training roles
- Day Rate Managers (Optional): Assign temporary coverage managers
- Support Managers (Optional): Add additional support personnel
Modify manager assignments for existing contracts.
- Click the “Edit” action for any contract row
- Update manager assignments at any succession level
- Add or remove managers as needed
- Save changes to update the succession plan
Import succession plans from spreadsheet files.
- File Format: Supports XLSX spreadsheet format
- Bulk Import: Upload multiple succession plans at once
- Data Validation: System validates manager assignments
- Error Handling: Shows any issues with imported data
Remove succession plans that are no longer needed.
- Click the “Delete” action for any contract
- Confirm deletion to permanently remove the plan
- Consider reassigning managers before deletion
- Maintain records of deleted plans for audit purposes
Manager Assignment Strategy
Section titled “Manager Assignment Strategy”Essential coverage for day-to-day operations.
- 1st Manager: Most experienced, primary responsibility
- 2nd Manager: Ready backup with similar expertise
- Availability: Ensure both aren’t unavailable simultaneously
- Communication: Regular coordination between primary and backup
Additional backup for complex or critical contracts.
- Skill Development: Opportunity for junior managers to gain experience
- Workload Distribution: Spread assignments across team
- Geographic Coverage: Consider location and travel requirements
- Specialization: Match manager skills to contract requirements
Comprehensive coverage for business-critical contracts.
- Emergency Coverage: When multiple managers unavailable
- Training Opportunities: Exposure to different contract types
- Cross-Training: Build broader team capabilities
- Succession Development: Prepare future primary managers
Succession Plan Types
Section titled “Succession Plan Types”Regular operational managers assigned to succession levels.
- Assigned to specific succession positions (1st through 6th)
- Expected to provide coverage when activated
- Regular operational responsibilities and assignments
- Performance tracked through succession activations
Managers in training or observation roles.
- Learning Role: Observe and learn from primary managers
- No Responsibility: Not counted as operational coverage
- Development Path: Preparation for future assignments
- Mentoring: Paired with experienced managers
Temporary or contract-based coverage managers.
- Flexible Coverage: Available for temporary assignments
- Specialized Skills: May have specific expertise
- Cost Management: Used when regular managers unavailable
- External Resources: May be contractors or consultants
Additional assistance for complex contracts.
- Supplementary Role: Assist primary managers
- Specialized Support: Technical or administrative expertise
- Capacity Management: Help manage high-volume contracts
- Knowledge Transfer: Share expertise across team

Section titled “Access Requirements”Operations Manager Can view and edit succession plans for their contracts
Admin Full access to all succession planning features and configuration
Operations Support Can view succession plans and upload bulk updates
File Upload Requirements
Section titled “File Upload Requirements”When uploading succession plans via XLSX file:
- Column Structure: Contract Name, 1st Manager, 2nd Manager, etc.
- Manager Format: Use manager names or IDs as they appear in the system
- Validation: System will check for valid manager assignments
- Error Reporting: Any issues with the upload will be clearly displayed
